WEBSITE TERMS OF USE & PRIVACY POLICY

This policy covers your interactions with this website, what information may be collected about you, how it is used, and how it is securely kept. It also explains your right to access your information.

Who we are

Pudsey & Bramley A.C. (P&B) is an athletic club affiliated to England Athletics (EA). Our website address is: www.pudseybramley.com; i.e. this one you are visiting right now.

What personal data we collect and why we collect it

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Visitor comments are checked through an automated spam detection service, Akismet, who are operated by Automattic and whose privacy policy is available here: https://automattic.com/privacy/

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

Analytics

Like most website operators P&B collect non-personally-identifying information of the sort that web browsers and servers typically make available, such as the browser type, language preference, referring site, and the date and time of each visitor request. P&B’s purpose in collecting non-personally identifying information is to better understand how P&B’s visitors use its website. From time to time, P&B may release non-personally-identifying information in the aggregate, e.g., by publishing a report on trends in the usage of its website.

Visitors to P&B’s website may choose to interact with the site in ways that require the gathering of personally-identifying information. The amount and type of information that P&B gathers depends on the nature of the interaction. P&B collects potentially personally-identifying information like Internet Protocol (IP) addresses for logged in users and for users leaving comments on our News Blog. Visitors can always refuse to supply personally-identifying information, with the caveat that it may prevent them from engaging in certain website-related activities.

P&B’s website makes use of Google Analytics to monitor the usage of this website. Under the General Data Protection Regulation (GDPR), while P&B is the Data Controller, Google is the Data Processor and their own Privacy Compliance page can be viewed here: https://privacy.google.com/businesses/compliance/

Who we share your data with

P&B do not share any information gathered through this website with third parties and do not use any details for marketing purposes.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website, we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

News and Results

Race or competition results achieved by current or past members may be published on our Results or Club Achievements pages. Similarly, names of competitors who are non-club members may also be used in Race Reports, News items, or results pages of any race we organise or are involved in. You have the right to have any information we publish removed or corrected.

Photography

Pudsey & Bramley AC genuinely appreciate the work of our sport’s photographers, who often endure the worst of the weather and mud as they diligently pursue their craft!

We are lucky within the community of fellrunning that there are a number of photographers, both amateur and professional, who are happy for their work to be shared and reproduced online without the need for strict permission; however, we also acknowledge that the copyright of a photograph belongs with the photographer, and as such we will always strive to appropriately credit any photos we use for P&B News articles and Race Reports.

If you encounter an incorrectly credited photo, or if you are the photographer (or subject) of a photo you would like removed from the site for any reason, please get in touch with us and we would be happy to amend as necessary.

How we protect your data

P&B takes all measures reasonably necessary to protect against the unauthorised access, use, alteration or destruction of potentially personally-identifying and personally-identifying information. Although we take reasonable measures to maintain the safety and security of your personal information, please note that no transmission over the Internet can ever be guaranteed to be secure. Consequently, please note that we cannot fully guarantee the security of any personal information that you transfer over the Internet to us.

 

 

MEMBERSHIP PRIVACY NOTICE

This section explains how we may use personal information we collect before, during and after your membership with us. This notice applies to you if you have registered to become or are a member of our club. This notice explains how we comply with the law on data protection, what your rights are and for the purposes of data protection we will be the controller of any of your personal information.

Uses of we, our, us, or simply P&B, in this privacy notice refer to Pudsey & Bramley A.C. a registered England Athletics (EA) club.

We do not have an official Data Protection Officer to oversee our compliance with data protection laws. We are not required to do so and are but a wee club with a limited number of volunteers with the patience for these sort of admin tasks, but rest assured we are taking it seriously and doing our best. Please see the Contact Us section at the bottom of this page if you have any concerns or would like to get in touch.

Personal information we may collect from you

We typically collect personal information about our members when you apply to become a member of the club.

If you are providing us with details of referees, next of kin, beneficiaries, family members and emergency contacts they have a right to know and to be aware of how what personal information we hold about them, how we collect it and how we use and may share that information. Please share this privacy notice with those of them whom you feel are sufficiently mature to understand it. They also have the same rights as set out in the “Your rights in relation to personal information” section below.

Depending on the type of membership you register for with us, you may initially provide us with or we may obtain personal information about you, such as information regarding your:

  • personal contact details that allows us to contact you directly such as name, title, email addresses and telephone numbers;
  • date of birth;
  • gender;
  • membership start and end date;
  • references and other information included in a CV or cover letter or as part of the application process for membership;
  • details of next of kin, family members, coaches and emergency contacts;
  • information about your health, including any medical conditions.

From the England Athletics website we may also have access to Role (competitive/non-competitive/lapsed), additional roles (coach/volunteer/athlete/official), DBS details, competitive license status (paid/expiry date/outstanding), other clubs you are a member of and status.

Why we collect this information

We will collect and process your Athletics Data for the purposes of registering you as a member of P&B and EA (if applicable) for administering your involvement in the sport.

Your information may also be used to:

  • make sure your membership with us runs smoothly and we can provide the very best service for you
  • register you onto and keep track of any events and competitions you attend, as well as facilitate the organising of club teams;
  • send you other information we think you might like, or which you have asked us to send to you, relevant to the club or the sport in general;
  • make sure we are keeping up with health and safety, with a particular focus on safeguarding our junior athletes;
  • assess your performance and to find out what else we can do to help you improve your development and training with us;
  • put together all the information we need in case there are any disciplinary or other issues with your membership.
  • make sure we are fairly offering opportunities to everyone.

Sharing your information

Unless you have opted for ‘Fell Only’ Membership Option, when you become a member of (or renew your membership with) P&B you will automatically be registered as a member of England Athletics. We will provide England Athletics with your personal data which they will use to enable access to their online portal and other EA membership services.

We may also share your Athletics Data with athletics partners such as UK Athletics, other Home Country Athletics Organisations, selected members of the National Council, Regional Councils, County Athletics Association and/or Area Athletics Association.

Your contact information may be shared with other members of the club in order to facilite the general running of the club and it’s events.

We will not transfer your data to any other third parties without obtaining your consent.

How long do we keep information for?

The duration for which we retain your personal information will differ depending on the type of information and the reason why we collected it from you.

We will retain your Athletics Data for such time as you are an athlete registered with us and where there is no legal requirement to retain your data we will endeavour to destroy/delete physical and electronic records for a period of 4 years after your last contact with us or the end of your membership.

Your rights in relation to personal information

You have the following rights in relation to your personal information:

  • the right to be informed about how your personal information is being used;
  • the right to access the personal information we hold about you;
  • the right to request the correction of inaccurate personal information we hold about you;
  • the right to request the erasure of your personal information in certain limited circumstances;
  • the right to restrict processing of your personal information where certain requirements are met;
  • the right to object to the processing of your personal information;
  • the right to request that we transfer elements of your data either to you or another service provider; and
  • the right to object to certain automated decision-making processes using your personal information.

Changes to this notice

We may update this privacy notice from time to time. When we change this notice in a material way, we will update the version date at the bottom of this page. For significant changes to this notice we will try to give you a reasonable ‘heads up’ unless we are prevented from doing so. Where required by law we will seek your consent to changes in the way we use your personal information.
